Our client, an engineering company in Westborough, is seeking a temporary HR Coordinator/Administrator to join their team. This role will assist members of the Human Resources team with functions relating to Leave Administration, Onboarding, HR Metrics, Benefits, and general administrative support. This role serves as one of the Human Resources contacts for employees who call, email, or visit the department with questions, responds courteously and will forward complex issues to HR team members. This position is Monday through Friday 8:30 am to 5:00 pm and can pay $25-30/hour based on experience.

ESSENTIAL JOB FUNCTIONS

  1. Leave Administration

Serve as a resource for employees regarding leave policies and practices

Reasonable Accommodations, Worker's Comp, etc.

Communicate effectively while dealing with sensitive and confidential material

Manage the documentation and approvals of leaves

Coordinate paperwork with state agencies and employees

Track, document, and follow-up on leave forms

Address questions regarding payroll/benefit adjustments during leaves

Assist HR Leadership, using best-practices, and ensuring the company is legally compliant

  1. Onboarding

Responsible for the onboarding process upon the candidate being hired, ensuring all the necessary paperwork is completed, and requirements are met per the given venue or location, including I-9's, E-Verify, policies, benefit elections etc.

Assist Receptionist/Office Assistant as needed to mail welcome cards to new hires, prepare cubicle name tag, provide new hire supplies and send checklist to hiring manager

Assist Senior HR Coordinator with Orientation (preparing packets, scheduling tours for new hires, etc.)

Assist with the onboarding of temporary agency staff, including compiling, reviewing and collecting policies/documents

  1. Off-Boarding

Preparation of termination paperwork

Input data for payroll processing

  1. Benefits Administration

Assists employees with enrolling and understanding the various benefit plans

Coordinate with payroll department on bi-weekly deductions

Assist Senior Generalist with annual benefits open enrollment, maintenance, testing, employee communications and presentations.

Processes new hire benefits enrollments/follow-ups and COBRA reinstatements and terms.

Maintains and inputs data in HRIS to oversee and audit HR information system reports and works closely with Payroll on employee changes and updates.

Serves as liaison, working closely with the Senior HR Generalist, between Human Resources and Payroll Department regarding benefit deductions adjustments and other Payroll data changes and HRIS/Payroll system integration

  1. Recruitment

Assist as back-up to Recruiting Coordinator to:

Generate offer letters and other new hire paperwork/forwards to candidate

Conducts drug screens and background checks

Performs employment verifications as needed

Ensure job descriptions are in proper format

Perform duties consistent with AA/EEO goals and policies

Other HR/Recruitment projects as needed

  1. General Human Resources Administrative Support

Employee communications and presentations, including implementation of changes

Manage paperwork for internal changes, such as Promotion Letters, Change in Status Forms, and other documentation

Assist HR team with uploading employee documents into HRIS

Assist with HR audits.

Identifies and recommends improvements in efficiency of HRIS and generating efficiencies in HR Processes.

Performs administrative assistance of routine functions of confidential nature such as composing and editing correspondence, reports, contracts, filing, spreadsheets and organizational charts, updating policies, coordinating separations, helping prepare presentations and coordinating.

Maintains working knowledge of Human Resources policies and procedures; effectively communicates as appropriate.

May be called upon to assist Vice President of HR with preparing for the Annual Org Review, Quarterly Business Review Meetings, Quarterly All Hands Meetings, Monthly Manager Meetings and Weekly Executive Management Meetings

Ability to run Business Intelligence reports from HRIS - UKG

PREFERRED EXPERIENCE (Not Required):

  1. Database experience preferred
  2. HRIS experience is a plus

  1. Ability to effectively prioritize tasks and manage time, juggling multiple deadlines
  2. Strong critical thinking skills. i.e., demonstrated ability to think on your feet and best utilize resources to find solutions
  3. Ability to work as part of a team, as well as independently
  4. Must be flexible and adaptable with the capacity to manage multiple tasks at once
  5. Must have a professional demeanor while interacting with all levels of the company
  6. Ability to express ideas clearly, both in written and oral communication
  7. Excellent organizational skills and follow-through
