Our client, a private research university in Waltham, Massachusetts, is seeking a Gift Processing Assistant. This role will comprise of a Monday through Friday, 9-5, 40 hour per week schedule, and will compensate up to $45.50 hourly.

Our client is delighted to announce a career opportunity for a seasoned higher education Sr. Executive Administrator to the President who reports directly to the Chief of Staff and is a dotted line report to the President of the University. The Sr. Executive Administrator serves as the primary point of contact for all internal and external constituencies seeking to engage with the President or the Office of the President. The Sr. Executive Administrator to the President must have excellent written and verbal communication skills, strong administrative and organizational skills, and a strong ability to appropriately weigh competing demands and prioritize effectively in a fast-paced, sometimes high-pressure environment. Responsible for managing the President's calendar and coordinating travel, including preparing detailed itineraries. Creates and manages the President's contact network. Manages and assists with the President's administrative responsibilities and creates and manages the President's organizational filing system. Maintains the highest level of confidentiality in all matters.

Responsibilities Include:

  • Manages access to the President's time and updates and manages the President's calendar. This is a critical "gatekeeper" and "gateway" role that will require sophisticated judgment and discretion and a deep understanding of the President's priorities and of the overall University context and community. It will also require coordination and negotiation with numerous other stakeholders within the campus community, including trustees.
  • Serve as face of the President's Office for guests, greeting and assisting visitors in person.
  • Manages the President's travel. Prepares detailed travel plans, itineraries and agendas, making all travel bookings as needed and ensuring in advance that the President has all of the information and documents he or she will need for successful trips. The process will often involve collaboration with the President's Chief of Staff and communications colleagues.
  • Creates and manages the President's contact management and works with the President and Chief of Staff to the President to plan appropriate outreach and engagement to ensure that key relationships are built and maintained amidst a demanding set of responsibilities.
  • Manages the President's administrative responsibilities, including overseeing the President's Office budget reports, expense reports, and any other reporting obligations for the University or government.
  • Creates and manages the President's organizational filing system, both electronic and paper-based, for capturing and using the information he or she will acquire as part of his or her role.
  • Works with other administrators who support the Board of Trustees in matters pertaining to the Board and its meetings.
  • Manages the President's correspondence and ensures prompt follow-up and/or delegation of communications.
  • Manages President's action items and ensures prompt follow-up and/or delegation of activities.
  • Participates in daily meetings of the President's Office staff and other meetings requiring follow-up or documentation.
  • Coordinates and arrange logistics for Presidential meetings, including technology.
  • Assists with President's participation in and duties around Commencement, including on-site support.
  • Coordinates President's routine meetings, including collaborating with other senior executive administrators on campus.
  • Other duties as assigned.

Requirements:

  • BS/BA (Business, Communications or related field preferred) plus 5-8 years of relevant work experience
  • Skills & Knowledge:
  • Fully understands the importance of confidentiality.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Zoom, and Google applications.
  • Extremely strong interpersonal skills and ability to build and maintain strong relationships within a diverse community.
  • Strong detail orientation and strong organizational skills. Strong project-planning and time management skills; ability to prioritize and perform multiple tasks in the right priority order and efficiently.
  • Sound judgment - ability to make many decisions quickly, with limited information, and a good sense for prioritizing. Emotional maturity that enables handling potentially challenging or tense situations; Proven ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Strong client service orientation, with very high-quality standards for his/her work;
  • Proactive and intentional approach to work - habitually looking forward to seek opportunities for improved performance, to proactively identify solutions to problems, etc.
  • Demonstrated ability to work successfully in an environment with individuals from diverse communities, backgrounds, and cultures.
