Job Overview: We are seeking a detail-oriented Billing Coordinator for a contract to hire opportunity with one of our clients. In this role, you will be responsible for managing various billing processes, ensuring accuracy and timeliness in all financial transactions. The ideal candidate will possess strong organizational skills and the ability to communicate effectively with team members and vendors.
Key Responsibilities:
- Print and distribute documents, paperwork, and invoices from vendors and branches to account representatives.
- Gather and compile necessary records to facilitate accurate billing processes.
- Update customer inventory in the CRM system following completed billings.
- Enter customer invoices on relevant websites, calculating amounts due for each account.
- Process and scan approved invoices for billing purposes.
- Prepare invoices detailing items sold, services rendered, amounts due, credit terms, and completion dates.
- Review vendor statements, investigating and resolving discrepancies for older items.
- Ensure all billing and accounting deadlines are met, communicating exceptions as needed.
- Generate and analyze various billing reports to provide insights and summaries.
- Assist in creating billing summaries for customers without website access.
- Submit vendor invoices to Accounts Payable for timely payment.
- Prepare credit memorandums for returned or incorrectly billed products or services.
- Post transactions to accounting records accurately.
- Collaborate with account representatives to prepare and correct invoices as required.
- Perform other related duties as assigned.
Qualifications:
- Proven experience in billing, accounting, or a related field.
- Proficiency in CRM and accounting software.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal abilities.
- Ability to work independently and as part of a team.
