Practice Group Administrator - Hybrid

Our clients is searching for a Practice Group Administrator to join their IP/Trademark Practice. This is a hybrid role with a salary ranging from $90,000-$160,000.

This person should have at least 3 years of experience in legal practice management or similar.

Key Responsibilities:

  • Collaborative Partnering: Work closely with partners to develop and implement best administrative practices and strategic plans, ensuring seamless communication across the practice group.
  • Billing Coordination: Manage the billing process, including vendor invoice processing, drafting, editing, and preparing pre-bills and final bills according to attorney/client specifications.
  • Accuracy Verification: Review and verify billing and supporting documentation for accuracy, ensuring correct rates and fee arrangements are reflected for each matter.
  • Reporting: Generate quarterly reports and monthly bill accruals for clients, ensuring accurate and timely information dissemination.
  • Documentation Management: Create a form database of IP documents and best practices, maintaining an organized filing system for trademark prosecution and enforcement matters on NetDocs.
  • Marketing Collaboration: Partner with the marketing team to create materials, plan and execute events, coordinate client meetings, communications, and support presentations and proposals.
  • Budget Management: Assist with practice group budget management, providing feedback on client requests, and ensuring financial targets are met.
  • Educational Coordination: Review CLE opportunities and work with partners to fulfill the group's educational needs.

Education and Experience:

  • Bachelor's Degree: A degree with 3-6 years of applicable work experience in a law firm setting.

Knowledge, Skills, and Abilities:

  • Communication: Excellent written and oral communication skills.
  • Independence: Ability to work independently and proactively in a fast-paced environment.
  • Interpersonal Skills: Strong ability to build credibility and rapport with lawyers, staff, and clients.
  • Technical Proficiency: Proficient in Microsoft Word, Excel, and PowerPoint. Experience with Aderant Expert, Chrome River, NetDocs, trademark docketing, and USPTO Financial Manager is preferred.
  • Organizational Skills: Exceptional ability to organize, prioritize, plan, and multi-task to meet deadlines effectively.
