Position Overview:

The Project Coordinator is responsible for assisting with scheduling for all programs and individual requirements. This role involves direct collaboration with the Procurement Team to achieve departmental goals and maintain day-to-day operations. The Project Coordinator will work closely with Program Managers, product vendors, and external services to meet comprehensive action plans, including resources and timeframes. This position requires excellent time management, organizational, and communication skills to effectively collaborate with both internal and external teams to deliver results within deadlines.

Job Summary/Responsibilities:

Support Procurement Activities:

  1. Assist with monitoring inventory levels to align with Marketing forecasts.
  2. Act as a liaison with Merchandising and external grading services as necessary.
  3. Prepare grading submission forms accurately and in detail as needed.
  4. Ensure inventory returning from external services are processed and received according to required plans and deadlines.
  5. Enter intercompany sales of inventory to ensure needed "evergreen" stock levels.
  6. Enter intercompany sales of graded inventory drop-shipped from external grading services and communicate with our distribution center and subsidiaries for system processing.
  7. Enter assembly work orders, return items, and work with A/P to ensure timely payment and/or credit to maintain vendor relationships.
  8. Monitor open purchase orders to ensure delivery dates are accurate.
  9. Provide backup support and prepare reports as needed.
  10. Assist with procurement functions as required.

Experience and Skills:

  1. 2-3 years of experience in a Procurement Coordinator, Project Coordinator, or Operations environment.
  2. Accurate keyboarding and ten-key skills required.
  3. Strong communication and organizational skills.
  4. Strong problem-solving skills and ability to work effectively in a rapidly changing, dynamic environment.
  5. Excellent listening skills.

Specialized Knowledge, Skills, and Abilities:

  1. Intermediate proficiency in MS Word, Excel, and Outlook.
  2. Ability to understand and operate ERP and related systems.
