Position Description:

Beacon Hill is seeking an experienced and proactive Executive Assistant to support our client's executive team. This role is ideal for a confident professional who thrives in taking initiative, pulling tasks without being prompted, and driving improvements through suggestions, new processes, and best practices. The primary objective is to provide high-level support to the executive team, ensuring their time is maximized and efficiently managed.

Key Responsibilities:

  • Provide comprehensive administrative support, including calendar management, travel arrangements, and miscellaneous tasks.
  • Handle all administrative needs, no matter how small, with professionalism and efficiency.
  • Attend board meetings, take detailed meeting minutes, and ensure that follow-up actions are clearly documented and tracked.
  • Prepare and distribute meeting agendas, materials, and reports as needed.
  • Assess ongoing activities, identify work that needs to be done, and fill in gaps by taking ownership of tasks.
  • Anticipate the needs of the VP and address them proactively to free up time for high-priority responsibilities.
  • Coordinate a variety of events, from small meetings to large-scale gatherings.
  • Manage vendor relationships, oversee event logistics, and ensure all events are executed smoothly and professionally.
  • Identify opportunities to streamline processes, create new systems, and implement best practices that enhance the overall efficiency of the team.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
  • Strong ability to manage multiple tasks with attention to detail and a high degree of accuracy.
  • Exceptional organizational skills and the ability to anticipate needs and act with minimal direction.
  • Experience attending board meetings, taking minutes, and providing polished and professional support in high-stakes environments.
  • Proficiency in event planning and vendor management.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with board members, stakeholders, and external partners.
  • Ability to create, influence, and execute new processes and best practices.
  • High level of discretion, integrity, and professionalism in handling sensitive information.
