Beacon Hill is seeking a Part-Time Administrative Assistant to be a part of a stable organization here in the Twin Cities on a short term contract basis. As an Administrative Assistant, you will play a pivotal role in ensuring smooth office operations and providing administrative support to various departments. Responsibilities:

  • General administrative support: Assist in day-to-day administrative tasks, such as managing phone calls, responding to emails, drafting correspondence, and maintaining office supplies.
  • Calendar and schedule management: Coordinate appointments, meetings, and conferences. Update calendars, send meeting invites, and ensure all parties are informed of schedule changes.
  • Documentation and record maintenance: Maintain accurate records, files, and databases. Organize and archive documents, ensuring they are easily accessible and properly categorized.
  • Travel coordination: Arrange travel itineraries, including booking flights, accommodations, and transportation for team members as required.
  • Meeting coordination: Schedule and organize meetings, including preparing agendas, taking minutes, and distributing meeting materials. Ensure meeting rooms are set up appropriately.
  • Communication support: Assist in preparing and editing various communications, such as memos, reports, presentations, and spreadsheets. Help distribute internal communications to the team as necessary.
  • Data entry and analysis: Input data accurately into spreadsheets and databases. Assist in collecting, analyzing, and summarizing data for reporting purposes.
  • Office organization: Maintain a tidy and organized office environment. Monitor and order office supplies, ensuring availability for smooth operations.
  • Correspondence management: Sort and distribute incoming mail and emails. Draft responses or redirect correspondence to appropriate individuals.
  • Ad hoc tasks: Provide support for special projects, events, or tasks as assigned by management or other team members.

Requirements:

  • Proven administrative experience: Previous experience in an administrative role, preferably in a professional office setting.
  • Excellent organizational skills: Ability to prioritize tasks, manage time effectively, and handle multiple assignments simultaneously.
  • Attention to detail: Strong accuracy and meticulousness in work, ensuring all tasks are completed thoroughly and with precision.
  • Communication skills: Exceptional verbal and written communication skills, with the ability to communicate effectively with team members and external parties.
  • Proficient with office software: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with project management or database software is a plus.
  • Professionalism and confidentiality: Demonstrated professionalism, maintaining confidentiality when handling sensitive information.
  • Problem-solving ability: Resourcefulness in finding solutions to challenges or obstacles that may arise.
  • Flexibility and adaptability: Willingness to adjust to changing priorities and take on new tasks as needed.
  • Team player: Collaborative mindset, able to work effectively in a team-oriented environment and assist colleagues when necessary.
