Job Summary: Beacon Hill is seeking a Part-Time Administrative Assistant who shares our passion for DEI and is dedicated to supporting our mission. As a Part-Time Administrative Assistant, you will play a crucial role in providing administrative support to our DEI team. You will be working roughly 15 hours per week for 3 weeks, and there will be another opportunity in July and August. You will assist in organizing and coordinating various DEI initiatives, maintaining records and databases, and ensuring efficient office operations. Your attention to detail, excellent organizational skills, and ability to work in a fast-paced environment will contribute to the overall success of our DEI efforts.

Responsibilities:

  • Provide administrative support: Assist the DEI team with day-to-day administrative tasks, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Maintain documentation: Create and maintain accurate and up-to-date records, files, and databases related to DEI programs, initiatives, and events.
  • Assist in event coordination: Support the planning, logistics, and execution of DEI-related events, such as workshops, training sessions, conferences, and employee resource group meetings.
  • Communication support: Prepare and distribute internal communications related to DEI initiatives, including newsletters, announcements, and updates. Help ensure consistent messaging and timely dissemination of information.
  • Data collection and reporting: Assist in collecting and analyzing data related to diversity and inclusion metrics, employee surveys, and other relevant information. Prepare reports and presentations to highlight key findings.
  • Collaborate with cross-functional teams: Coordinate and collaborate with various departments to integrate DEI practices and initiatives into their workflows and processes.
  • Stay updated on DEI trends: Keep abreast of current research, best practices, and emerging trends in the DEI field to provide recommendations for program enhancements.
  • Support special projects: Contribute to special projects and ad hoc assignments related to DEI as directed by the DEI team.

Requirements:

  • Previous administrative experience: Proven experience in an administrative or office support role
  • Knowledge of DEI principles: Familiarity with diversity, equity, and inclusion concepts, and an understanding of their importance in the workplace.
  • Organizational skills: Exceptional organizational and time management skills, with the ability to prioritize tasks, handle multiple assignments simultaneously, and meet deadlines.
  • Attention to detail: Strong attention to detail and accuracy in work, ensuring that all tasks are completed thoroughly and with precision.
  • Communication skills: Excellent written and verbal communication skills, including the ability to draft professional emails, memos, and reports.
  • Proficient with office software: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Collaborative mindset: Ability to work effectively in a team-oriented environment, collaborating with colleagues across departments to achieve shared goals.
  • Confidentiality: Understanding and adherence to confidentiality when handling sensitive information.
  • Flexibility: Willingness to adapt to changing priorities and take on new tasks as needed.
