Investment firm focused in the Media/Entertainment space is seeking an experienced Office Manager/Receptionist to join their close-knit team ASAP. This role will be responsible for managing daily operations and ensuring that all administrative tasks are completed efficiently and accurately. The ideal candidate will have excellent organizational and communication skills, as well as the ability to multitask and prioritize responsibilities. Hours are 8:45am-6pm with availability after-hours as needed, requiring 5 days a week onsite.

Responsibilities:

  • Manage all administrative tasks, including managing the reception area, greeting guests, answering calls and emails, and scheduling meetings
  • Lend support to all members of the team, from the partners to the executive assistants
  • Manage office expenses, including budgeting and processing invoices
  • Ensure that the office is well-maintained, including managing office supplies, equipment, and furniture
  • Assist in the planning and execution of company events and meetings
  • Act as the liaison between the office and building management
  • Oversee office compliance and security protocols and ensure that they are followed
  • Maintain accurate and up-to-date employee records and office policies
  • Manage employee onboarding and offboarding processes
  • Coordinate with outside vendors such as IT, grocery delivery service, etc.
  • Assist with various ad-hoc projects and tasks as needed

Qualifications:

  • Bachelor's degree in business administration, hospitality or a related field
  • 3+ years of experience in office management or a similar role
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Keen attention to detail
  • Ability to anticipate needs, and work quickly and efficiently
  • No task too large or too small mentality
  • Positive attitude
  • Proficient in Microsoft Office and other relevant software applications
  • Familiarity with navigating technical systems
  • Ability to work well under pressure and meet deadlines
  • Strong leadership and people management skills
  • Experience working in a fast-paced, dynamic environment
  • Knowledge of private equity or finance
