Our client, a prominent university located in Cambridge, MA, is seeking a temporary Administrative Coordinator to join the team at their Allston campus. This role is Monday-Friday and pays $22.50 an hour.

Job Duties:

  • Organizing research meetings
  • Coordinating workshop and logistics
  • Sustaining an effective web and social media presence
  • Creating advertising materials for seminars and workshops
  • Contributing to reports about accomplishments, and serving as the point person for financial transactions and administrative tasks
  • Processing financial transactions, including reimbursements, corporate card payments, invoices, and other transactional activities for internal and external vendors.
  • Meet regularly with grant managers to review grant expenditures and provide updates.
  • Event support may include handling logistics with caterers and other vendors and processing invoices.
  • Manage complex calendar scheduling for faculty and coordinate scheduling and logistics for meetings, postdoc appointments, and travel.
  • Occasional evening event support may be required.
  • Other duties as assigned.

Qualifications:

  • 2+ years of administrative experience
  • Interest in issues involving computing and public health wildlife conservation, and/or equity is a plus.
  • Previous experience or interest in event planning, coordination, and implementation is desired.
  • Experience with calendaring, travel planning, file management; understanding the interplay of Mac/PC and Google/Microsoft is preferred.
  • Comfort with web-based collaboration and communication tools, including the use of content-management systems.
  • Strong written communication skills.
  • Exceptional organizational skills.
  • Understanding of financial systems to process financial transactions, including reimbursements, invoices, and corporate card payments or willingness to learn.
