Global Private Equity firm in Midtown, Manhattan is looking to hire a Temp to Perm Administrative Assistant/Office Manager for their 7 person office. This is a great opportunity for a candidate who enjoys being in an administrative role but needs work/life balance. They are willing to hire someone with 6 + months of administrative office experience, who can jump in quickly and learn. They will entertain a hybrid schedule for the right candidate. Hours are 9am - 5pm. Note if they have a big meeting coming in later in the day they might need flexibility to greet visitors, but this would be with notice.
Responsibilities:
- Schedule meetings, maintain calendars, and make travel arrangements (they do work with a travel agent to coordinate).
- Organize office's mail correspondence, schedule conference room and meetings, etc. to support daily operations.
- Manage office supplies inventory and place orders as necessary.
- Liaise with facility management vendors, including building management and security.
- Prepare expenses reports monthly and work with accountant to maintain company's accounting log.
- Assist with human resources administration, new hire set up and other recruiting efforts.
- Work with service providers for renewals and relationship maintenance.
- Add pertinent information to CRM database (Salesforce), as well as generate reports as needed.
- Print and bind marketing materials for meetings.
- Coordinate with global teams to organize firmwide meetings and conferences.
Requirements:
- Bachelor's Degree
- Excellent attention to detail and ability to multi-task and work under tight deadlines
- Proactive, resourceful with the ability to anticipate needs
- MS Word, PowerPoint, Outlook; intermediate Excel skills preferred
- Knowledge of Salesforce preferred
- Exceptional written and oral communication skills
Compensation:
Paying between 50K - 55K DOE + Discretionary Bonus + Great Benefits
