Immediate part-time position with a "family feel" small company located in the Crafton area of Pittsburgh. This position is an Accounting Administrative Assistant where you have the chance to do many different tasks. The right individual will work 6 hours a day and be able to start their day anytime between 7:30am and 8:30am (Just need to commit to 30 hours a week). Successful Candidate will provide the following support:
- Duties will include typing and sending out Purchase Orders and Invoices, responding to incoming e-mails as needed and keeping files in an orderly manner
- Entering all debits and credits into the QuickBooks system and balancing the two checking accounts with QuickBooks each month
- Must have excellent knowledge of Excel and QuickBooks
- Provides administrative support to ensure efficient operation of office
- Helping with packing up boxes and shipping out orders
- Make travel arrangements for Service Repair employee such as booking flights, hotels and car reservations.
- Prepare reimbursement expense report and check for salesmen as needed
- Prepare monthly payroll through ADP system
- Prepares annual tax reports for year-end tax return that will be turned over to the Tax Accountant
- Annually will review all insurance policies and ensure they are up to date with the company's needs. May at times need to collect new insurance quotes for company policies.
- Ensures operation of office equipment by completing preventive maintenance requirements and calling for repairs as needed
- Provides information by answering questions and requests
- Maintains reagent supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Contributes to team effort by accomplishing related results as needed.
Must Have Requirements
- HS Diploma
- Accounting experience (2+ years)
- Quickbooks (1+ years)
- Excel - intermediate to advanced
- ADP experience is a plus
