Financial Services firm located in Hudson Yards is looking to hire a Temp to Perm Administrative Assistant to support 3 senior members of their Global Facilities and Real Estate Teams. This role requires someone in office Monday - Friday from 8am - 5pm with flexibility for OT as needed.
Responsibilities:
- Manage travel and expenses for members of the Global Facilities Real Estate Team.
- Schedules internal, external, and senior leadership meetings on behalf of Facilities Team members
- Manage personal and business calendar for Global Facilities Real Estate members including personal support as needed
- Develop and maintain business relationships and interact with a variety of high-profile individuals and all levels of
- Management
- Act as a department resource - develop healthy working relationships with all facilities team members
- Assist with the planning and execution of facilities events - annual team holiday party, quarterly team outings
- Perform special projects related to the team
- Provides daily administrative support to the team - i.e., lunch accommodations, filing and mailing, ad hoc requests as
- needed
- Show additional administrative support as Senior members may need.
Requirements:
- 3-5 years related experience
- Ability to exercise sound judgment in assessing and determining how to handle sensitive matters
- Ability to be resourceful and proactive when issues arise
- Multitasking and time-management skills, with the ability to prioritize tasks
- Ability to be available outside of standard office hours - night and weekend assistance as needed
- Ability to handle confidential information with discretion.
- Extremely professional demeanor and positive attitude
- Ability to work independently
- Strong organizational, communication and interpersonal skills
- Proficient knowledge of Microsoft Outlook, Excel, Word, video conferencing software, expense report and corporate
- College degree required
- Detail oriented and ability to adapt quickly in fast-paced environment
Compensation/Benefits:
- Paying between 35hr - 40hr DOE + Paid OT + Discretionary Bonus + Benefits + Perks
