Beacon Hill Staffing Group is assisting our client with a search for an Administrative Operations Specialist. In this role, you will provide essential support for the operational and administrative functions of the department, focusing on finance/budgeting, HR and personnel-related tasks, IT support, and general office management.
Responsibilities:
- Assist the HR liaison by drafting personnel ordinances, handling various leave requests, and other related tasks.
- Manage the onboarding and offboarding process for new employees, including submitting requests to the Vacancy Review Board, creating job postings, maintaining personnel files, and conducting orientation sessions.
- Order standard office supplies, including staff business cards and special-order items as required.
- Receive and track resumes using the resume repository and tracking tool.
- Coordinate and oversee the candidate interview process, including scheduling candidates and interviewers, and arranging conference rooms.
- Provide training to staff on Kronos, ATL Cloud, Concur Travel Portal, and other systems.
- Assist staff with the submission of expense reimbursements and advance requests.
- Support payroll closeout and report generation, ensuring accurate and organized payroll records.
- Assist with annual budget preparation and perform general accounting duties.
- Prepare disbursements and invoices for vendors and outside counsel, including purchase requisitions and purchase orders, for processing by Accounts Payable.
- Handle departmental credit card reconciliation and submit it to Finance for processing.
- Process budget adjustments and journal entries.
- Assist with meeting and event planning, including contacting vendors, ordering and receiving food, arranging room set-up, and securing venues.
- Provide backup support to Office Support Assistants at the front desk when needed.
- Assist with the design, maintenance, and content updates of websites (public and internal).
- Provide basic technical support for commonly used applications and devices.
- Regularly gather, analyze, review, and classify data.
- Attend Finance, HR, and Procurement meetings as the Operations representative, as required.
- Proficiently operate the document management system.
Minimum Qualifications:
- Associate's degree in business management or office administration, or a high school diploma with at least six (6) years of work experience in an office environment as an administrative assistant, secretary, or in a customer service role.
Preferred Qualifications:
- Associate's degree in business management or office administration, or a high school diploma with eight (8) years or more of work experience in an office environment as an administrative assistant, secretary, or in a customer service role.
