Our client, a Montessori school located in Boston, MA, is seeking a temporary Front Desk Operations Administrator to join the team. This role is onsite Monday-Friday from 7:45am-3:45pm, and pays $25 an hour.
Job Duties:
Reception Duties
- Manage the flow of guests into the building, greet all visitors and direct them accordingly
- Maintain school security by following safety procedures and controlling building access
- Oversee and troubleshoot the Traction sign-in system as needed
- Assist Executive Assistant to the Head of School with planning student and staff events
- Answer lobby phones, respond and redirect all emails and phone calls promptly
- Receive and sort all incoming mail
- Maintain lobby appearance (package distribution, bikes, lost and found, lunches)
- Facilitate drop-off and receipt of student items
- Assist with maintaining postage machines and school mailings
- Ensure egresses and elevators are accessible
- Always prioritize students in the lobby
- Helping with next school apps out, including running reports, tracking forms in a spreadsheet
General Administrative Duties
- Assist with daily student attendance tracking during regular and after school hours
- Manage and communicate changes during the regular school day; ensure effective communications between school day and After School Program drop-in requests
- Maintain general office supplies including student snacks, break room needs and teacher classroom supply requests
- Assist the Associate Head of School and Program Directors with Administrative Support, as needed
- Oversee dismissal for the academic school day
- Occasionally support with lunch and recess duties
- Assist with other duties and projects, as needed
Additional Responsibilities
- Aid Auxiliary Programs including reserving transportation and programmatic spaces
- Support Blackbaud database (experience is a plus)
- Supports all-school departments with project development and completion
- Organize, attend, and participate in special project meetings
- Document and follow-up on important action items
- Develops content and messaging that aligns with the Project Leader's vision
- Provides administrative support to all departments as needed
REQUIREMENTS:
- Possess excellent multitasking and time-management skills, with the ability to prioritize tasks
- Ability to remain calm, balanced and positive under pressure
- Important to be able to forge strong relationships with students, parents and colleagues as this front-facing person
- Proficiency in Google Suite and with office equipment (e.g. fax machines, printers, internal phones)
- Ability to be resourceful and proactive when issues arise
- Positive collaborative attitude and willingness to leave comfort zone
QUALIFICATIONS:
- BA/BS degree required (Majors in an education field are preferred)
- Minimum of 1+ year working in an educational setting (non-profit preferred)
