Our client, a non-profit tied to an investment firm, is seeking to hire a Term HR Assistant to join their team. Client is based in Midtown, Manhattan. The position is hybrid (Monday - Thursday onsite, Friday remote), 9am - 6pm with 1 hour lunch. All training will be onsite. Position is targeting a June start through summer.
Responsibilities:
- Work on the Human Resources Paper Reduction Initiative and the Document Retention Project including, but not limited to,
- Reorganize HR's hard copy file drawers
- Scan in current and former employee documents to a designated digital location
- Print documents that are required to keep in hard copy file drawers
- Update various trackers
- Follow processes for handling retention of employee acknowledgment for different policies
- Copy candidate documents from the HR shared folder to the employee e-folder including employment applications and various documents
- Update employee e-folders by transferring attachments from emails to their respective e-folders i.e., forms, acknowledgements/statements, jury duty summons, etc.
- Assist with audits of the employee e-folders by entity
- Audit different versions of documents
- Shred the documents that are no longer required as hard copy
- Create employee folders for recent hires
- Create employee folders for separated employees
- Assist with any ad hoc projects
Qualifications:
- Bachelor's degree
- Experience working with data entry, record-keeping or similar functions
- Refined sense of discretion and diplomacy in handling high-level and confidential information
- Must be extremely well organized with outstanding attention to detail, accuracy and follow-through
- Strong interpersonal skills, positive attitude, and collaborative work style
- Ability to:
- work independently and as part of a group
- juggle multiple tasks with professionalism
- follow existing work processes and procedures
- take direction and have confidence to ask questions
- Highly proficient in MS Office Suite, particularly Word and Excel with fast and accurate data entry skills
Compensation/Benefits:
- DOE $20-$22/hour pay rate
