Our client, a growing media start-up in SOHO, is seeking a Part-Time Temp Office Admin to support their office and executive team. The temp will be responsible for ordering food for the team, managing the office space (restocking snacks and beverages etc.), checking the UPS P.O. Box (a few blocks away from the office), helping plan team events, and working with the Editorial Assistant to support the executive team. Must be proficient in Microsoft Office and Google Suite. Hours are 9am-5pm. Position will work onsite Tuesdays and Thursdays, ~ 20 hours a week. Must be accessible/flexible to work after hours and on the weekends if needed. Temp duration two months with potential to extend.
Responsibilities:
- Keep NY office organized and create a warm and welcoming environment for the team
- Keep office stocked with snacks and supplies
- Mail: receive packages, check UPS P.O. Box, and send out packages as needed
- Register guests, visitors and greet guests as needed
- Order food/lunch for team for weekly team meetings and other company meetings when required
- Help with event planning, such as company meetings or team meals
- Ensure effective flow of meetings; conference rooms organized, video conference setup tested, confirm meetings in advance
- Facilitate internal communications, and serve as the point of contact for both internal and external requests/questions
- In partnership with Editorial Assistant, book meetings, manage and organize calendars for the executive team
- Plan and coordinate business travel, including booking flights & hotels, as needed
- Facilitate internal communications, and serve as the point of contact for both internal and external requests/questions
- Handle special assignments that arise, such as research on strategic topics, or event planning for company off-sites and social events
- General administrative duties
Qualifications:
- 2+ years administrative support for executives or comparable experience
- A strong work ethic and commitment to excellence
- Proactive, ability to anticipate tasks that need to be taken without waiting for instruction
- Ability to organize, prioritize, and multi-task
- Ability to take initiative and act independently
- Exhibit good judgment, discretion, strong interpersonal skills, and attention to detail
- Proficiency in MS Word, Excel, PowerPoint, Outlook, and G-suite Office Products
Pay:
- $25-$30/hour DOE
