A growing insurance firm is seeking a Temporary to Permanent Administrative Assistant to support the Senior Executive Assistant to the Group CEO and President for their Stamford, CT office. This role will be in office 4 days a week and hours are 8am - 4:30pm or 8:30am - 5pm with flexibility to adjust on an as needed basis.

Responsibilities:

  • Completes a broad variety of administrative tasks including calendar management; completing expense reports; prioritizing schedules; compiling meeting materials; arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Work collaboratively with the Senior Executive Assistant on special projects and to plan events for the Executive team
  • Assist with managing the Stamford, CT office, often liaising with IT, Facilities, HR, and Building Management
  • Maintain and update important documents, files, and records
  • Perform research and gather information to assist in decision-making processes
  • Follows through on projects to successful completion, often with deadline pressure
  • Keeps the Senior Executive Assistant apprised of all pertinent information throughout the work week
  • Acts as backup to the Senior Executive Assistant in her absence

Experience:

  • 3+ Years experience in an administrative or support role; prior insurance experience a plus
  • Excellent communication skills, both written and verbal
  • Strong organizational and time management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Flexibility and adaptability to changing priorities and needs
  • Professionalism and a positive attitude
  • Very strong interpersonal skills and the ability to build relationships
  • Proactive approach to problem-solving
  • Technically savvy
  • Collaborative and highly resourceful team player
  • Proven ability to handle confidential information with the utmost discretion
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), video conferencing tools and Concur
  • Ability to occasionally work during non-business hours

Compensation:

  • Salary up to $90k DOE plus discretionary bonus
