Our client, an investment banking and asset management firm in Boston, is seeking an Executive Assistant to join their team. The Executive Assistant will support and assist their 9 investment bankers with complex calendars and schedules. They are looking for a candidate who will be committed to consistently providing support any way they can, while being always flexible and professional. This role will be temporary to permanent, with a rate of $37/hr - $43/hr depending on experience. This role has the potential to be annualized at $80k - 90k per year. Responsibilities
- Coordinate all aspects of executive level appointments, meetings and conference calls (including internal and external management teams); Understands executives' priorities and objectives to effectively manage the calendar
- Managing heavy call & email volume; exercising good discretion & judgment when responding to inquiries
- Coordinate complex travel arrangements - including frequent changes. (Proactively manages downstream impact of changing travel schedules).
- Takes the lead and acts as a direct liaison with clients
- Organizes highly confidential company and department information
- Manages expense reports through T&E system
- General office management- replenishes office supplies, send/receive packages, distribute mail, etc.
- Greeting guests and escorting them to conference rooms
- Point person on all office/building needs and inquiries
- Working closely with highly collaborative and collegial team of professionals
- Office event planning
- Coordination with team members
Qualifications
- Highly organized, able to efficiently multitask and most of all be able to thrive in a fast paced environment with executive's frequently changing & highly demanding schedule
- Proficient in Microsoft Excel, Word, Outlook, and other computer programs; possess strong written and verbal communications skills with the ability work in a pressured, deadline oriented environment
- Flexibility, and the ability to work well with all levels of internal management and staff, as well as outside Clients
- Experience supporting bakers or working in a banking environment is a plus
- At least 4 years supporting high level executives
- Strong interpersonal and communication skills
