Our client, a university in Cambridge, is seeking an Administrative Assistant to join their team! This role will be hybrid in Cambridge and compensate up to $24/hr depending on experience. This role will be temporary for 3+ months. Interested candidates are encourage to apply today for immediate consideration!
Description:
* Manage the Executive Director's and Senior Director's calendars. Assure the presence of
Strategic Information Management (SIM) staff at key meetings; distributes information's and follow-up actions.
* Coordinate meetings, including managing logistics, developing agendas, identifying speakers, preparing presentation slides, and organizing other materials. Work with catering and outside vendors to provide food and beverages as appropriate.
* Oversee all office activities, including ordering and stocking supplies and drinks/snacks for departmental events and snacks.
* Assist in preparing onboarding itineraries for new SIM employees by putting together a schedule of activities and meetings to ensure a successful onboarding to Resource Development and SIM.
* Manage departmental speakers, kudo boards and other recognition programs, as well as
departmental lists including contact information, staff development tracking, and general
departmental Dropbox materials.
* Other duties and special projects as assigned.
Qualifications:
* High School diploma or equivalent required
* Must have three years secretarial, office, or related experience. Ideally in an office setting
supporting multiple people in an extremely fast paced and high volume environment.
* Must have strong attention to detail, resourcefulness, flexibility and reliability.
* Previous project coordination experience strongly desired.
* Excellent written and oral communication skills.
* Must be able to multi-task, prioritize assignments, and meet deadlines, without compromising quality, in a demanding, high-volume work environment.
* Ability to effectively organize oneself and others.
* Strong planning, problem-solving, time management, customer service, and decision-making skills.
* Demonstrated ability to work with confidential information and exercise sound judgment.
* Demonstrated experience using Microsoft Office, including Word and Excel, with solid
PowerPoint skills required. Database experience essential, as is proficiency with using a
Windows environment.
