Our client, an independent private equity firm based in Boston, is seeking a temporary administrative Assistant to join their team for the next 2-4 weeks! This role is full time, on-site in Boston Monday through Friday, from 8:30am to 5:00pm, and is paying between $25-30/hour based on experience. Primary Responsibilities
- Assist in managing complex calendars - schedule, confirm and coordinate meetings internally & externally and with other Assistants across the firm
- Assist the Executive Assistants in scheduling and setting up regular top level meetings
- Assist in planning, scheduling, and coordinating Deal team Investment Committee Meetings
- Assist in planning and scheduling, and coordinating quarterly Partner meetings
- Help with scheduling Deal team reviews at year-end
- Plan, schedule, and coordinate Deal team dinners
- Work collaboratively across Advent business groups and within the Private Equity team, locally and internationally
- Interact and collaborate with external clients/business colleagues
- Coordinate with portfolio companies for supported individuals regarding meetings and information flow
- Make extensive travel arrangements, both international as well as domestic and prepare itineraries and expense reports
- Help prepare presentations using PowerPoint
- Work on various ad hoc special projects
Skills required (in addition to general administrative skills)
- Excellent communications skills - written and verbal
- Able to engage with people at all levels, likeable, and approachable.
- Strong skills in Word, Excel, and PowerPoint
- Ability to work independently and with minimal supervision, proactive in approach
- Must be able to assess situations and determine appropriate action
- Ability to handle highly sensitive, confidential, and non-routine information
- Comfortable working with people at all organizational levels
- Must be skilled at scheduling, highly organized, and possess a high attention to detail
- Ability to work well under pressure, must be flexible and adaptable
- High degree of integrity, professionalism, diplomacy, and discretion
Other requirements
- At least 3 years of experience as an Administrative Assistant in a professional services firm such as private equity or management consulting
- Four-year college degree
- Self-starter who takes initiative, displays good judgment, is reliable and dependable, and likes being busy
