Our client, an education program of the arts based in Boston, is seeking an Executive Assistant/Project Manager to support the Vice President for Education Outreach and Social Entrepreneurship. This role is hybrid in Boston, with full time hours from 9am-5pm, Monday through Friday, and is a temporary assignment for 3 to 6 months. It is paying up to $35/hour. Schedule Management & Administration:

  • Proactively manage the VP-EOSE and committee calendars with a focus on leader, EOSE, and institutional partner priorities.
  • Prepare leader(s) for meetings, ensuring agendas are prepared, communicated, and key leadership is involved.
  • Provide administrative support for Advisory Board meetings, creating agendas, compiling reports, and recording minutes.
  • Coordinate presentations and spreadsheets, ensuring materials are organized for review before scheduled meetings.
  • Manage day-to-day tasks, including phone/email correspondence, document preparation, and record maintenance.
  • Handle travel arrangements, shipping, office supply needs, and catering for the office of the VP-EOSE.

Communication:

  • Ensure timely and accurate communications internally and externally on behalf of the VP-EOSE.
  • Collaborate with key stakeholders to manage changing schedule priorities and communicate effectively.
  • Support the VP-EOSE in stewardship and cultivation of constituents, including donors.
  • Speak on behalf of and represent the leader in meetings when needed.

Project Management

  • Implement best practices for project planning and execution, managing small and large-scale projects.
  • Work collaboratively to determine tasks, recommend resources, and produce project documentation.
  • Support grant writing and editing, research potential funding sources, and assist in the application and reporting process.
  • Plan and execute events, including meetings, presentations, and social/team-building events.

Possible Additional Duties and Responsibilities:

  • Collaborate with relevant campus departments, vendors, external persons, and organizations.
  • Represent the EOSE and/or City Music at on and off-campus events as requested.
  • Perform other related work as needed.

Knowledge and Skills Required:

  • Bachelor's degree or equivalent certificate; 6-8 years of experience in project management or executive assistant role.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to manage multiple responsibilities and projects, make informed decisions, and work efficiently.
  • Highly organized with attention to detail; ability to work independently and as part of a team.
  • Familiarity with MS Office products, project management tools, and budget management.
  • Positive, professional attitude with the ability to work some nights/weekends as required.
