Our client, a non-profit organization located in Boston, is seeking a temporary office manager. This is a temporary opportunity and can compensate up to $28/hr.

Responsibilities

Order office supplies, supplies for bathroom and kitchen, including supplies for water and coffee

Support ongoing policies as well as implement any new policies within the physical office space

Facilitate and supply badges for staff with the support of Prudential Center security team

Support staff in acquiring visitor badges

Support incoming and outgoing shipments from the office

Support staff with office services such as printing, copying, phones and fax with support from IT team

Relationship Management

Maintain relationship with Prudential Center through identified contact alongside HR partner

Support in communicating with 14th sublease contact as needed alongside HR partner

Act as a resource for PIH teams planning large in office retreats or meetings

Act as a resource for other vendors as needed with support from HR

Financial Systems

  • Provide support for and submit monthly invoices and monthly expenses
  • Submit monthly expense report for credit card
  • Support existing contracts with Boston Properties (BXP), Boston Bean Coffee Services, Xerox/Papercutting, ShredIT, Lusha
  • Place orders as appropriate (note: any new work order / purchase and any work order / purchase over $1,500 will require advanced approval)
  • Meeting Support
  • Provide support for large in office meetings, including the November Board meeting and November Leadership Council retreat (November 12-16, 2023)
  • Place food/beverage orders for large meetings as needed
  • Support with set up and clean up for large meetings as needed

Qualifications

  • 2-3 years' experience in office management supporting a physical office space including placing and receiving orders and shipments, carrying out associated financial responsibilities and supporting staff as needed
  • Experience in supporting in person meetings including placing large food orders, preparing supplies in advance, and interacting with all levels of staff
  • Ability to work independently and take initiative; must be a quick learner, able to manage competing priorities and easily adapt to changing circumstances
  • Advanced organizational skills and attention to detail and quality
  • Strong communication and interpersonal skills; ability to collaborate effectively with culturally diverse staff
  • Computer skills in word processing, database, and spreadsheet programs; proficiency in Microsoft Office applications
  • Integrity and respect for confidentiality, data and information is a must
