Our client, an investment firm, is seeking a Temporary to Permanent Office Manager to join their NYC office. The hours are 8:30am-5:30pm with flexibility for OT. This position is in the office five days a week.

Responsibilities:

  • HR Support
    • Oversee recruiting coordination and scheduling for CIO and SVP of Human Capital
    • Communicate with recruiters on candidate status and feedback
    • Support recruiting efforts and ATS management
    • Ad hoc HR research, projects and support
  • Administration Management
    • Manage admin team (2 people) under the SVP of Human Capital
    • Manage the NY facilities, including office décor and guest management
    • Manage third party vendors and coordinate vendor due diligence
    • Manage MSP, acting as the technology liaison between the firm and the MSP
    • Ad hoc level 1 on site technology support to team, including equipment and conference room troubleshooting
    • Maintain office records, like the business continuity plan and internal logs
    • Basic accounting tasks along with bookkeeping tasks
    • Coordinate events, on-sites, and team activities with the admin team
    • Create and maintain administrative processes and procedures with the admin team
  • Office Manager:
    • Hyper-organized and structured and completion-oriented
    • Comfort with multi-tasking and prioritization
    • Actionable and efficient with an excellent eye for detail
    • Strong communication and interpersonal skills, and comfort interacting all members of the firm
    • Proficiency with office suite, teams, asana
    • Comfort with learning new tools as appropriate for improved productivity
    • Previous experience as an Office Manager or Executive Assistant
    • Ability to be proactive, resourceful and solutions-oriented
    • Highly reliable, responsible and responsive
    • Ability to learn quickly, and when mistakes are made, learn from them

Qualifications:

  • 5 + years of administrative experience out of a fund
  • Degree strongly preferred
  • Proficient in Microsoft Office Suite, Teams, and Asana
  • Experience scheduling across different time zones
  • Collegial culture carrier with a team player attitude
  • Strong written and verbal communication skills
  • Must be able to work independently but contribute in a team-oriented environment
  • Acute attention to accuracy and detail

Compensation/Benefits:

  • Up to $90K - $115K base DOE + bonus
  • Medical, dental, and vision plans - 80% covered by employer
  • 15 days' vacation, sick days, and standard holidays
