Our client, a pharmaceutical company in Boston is seeking an Executive Assistant to support a C-suite level executive. This role is temporary for the next 2-3 months, onsite in Cambridge, full time hours Monday through Friday, and is compensating up to $40/hr. RESPONSIBILITIES

  • Manage complex calendars for the C-suite level executive and senior scientific leaders, scheduling meetings, appointments, and conference calls, and proactively resolving scheduling conflicts.
  • Arrange and coordinate travel, including flights, accommodations, and itineraries.
  • Prepare and organize materials for meetings, presentations, and conferences, ensuring that all necessary documents are readily available.
  • Act as the primary point of contact between the C-suite level executive and internal/external stakeholders, including senior leadership, board members, and collaborators.
  • Assist with email correspondence, drafting and editing documents, and managing information flow to and from the C-suite level executive.
  • Attend meetings and record minutes, tracking action items and following up on outstanding tasks.
  • Handle confidential and sensitive information with discretion and maintain confidentiality at all times.
  • Assist in the preparation of budgets, expense reports, and financial documentation as needed.
  • Help plan and coordinate departmental events, including team meetings, workshops, and scientific symposia.
  • Collaborate with other administrative professionals to streamline processes and improve departmental efficiency.

QUALIFICATIONS

  • Bachelor's degree preferred, along with a minimum of 5 years of executive-level administrative support experience.
  • Exceptional organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks simultaneously.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Proactive and resourceful problem solver, able to anticipate needs and find solutions.
  • Excellent interpersonal skills, with the ability to work effectively with individuals at all levels.
  • Flexibility and adaptability in a fast-paced, dynamic environment.
  • Previous experience in a biotechnology or pharmaceutical setting is a plus.
