Our client, a community-focused nonprofit, is seeking a highly organized and detail-oriented contracted Part-Time Scheduling Assistant. The ideal candidate will be responsible for managing a high volume of scheduling, meeting planning, and calendaring utilizing Microsoft Outlook, as well as organizing and processing expense reports in Microsoft Excel. The ability to work quickly without sacrificing attention to detail is a must!

About you:

  • 2+ years of experience in a high-volume scheduling position
  • Advanced proficiency in Microsoft Outlook for scheduling and calendaring tasks, and in Microsoft Excel for organizing and processing expense reports
  • Strong organizational skills and attention to detail
  • Excellent time management and multitasking abilities that shine in a fast-paced environment
  • Ability to communicate effectively with internal and external stakeholders
  • Proactive problem-solving skills and ability to work independently
  • Flexible and adaptable to changing priorities and deadlines

The job:

  • Coordinate meetings, appointments, and events for two department leaders consistently in Microsoft Outlook, ensuring optimal use of time and resources
  • Maintain and update calendars for team members, ensuring accuracy and consistency
  • Communicate effectively with internal and external stakeholders to schedule meetings and appointments
  • Collect expenses, organize data, and process reports using Microsoft Excel
  • Ensure timely and accurate submission of expense reports, following company guidelines and policies
  • Provide administrative support as needed, including but not limited to filing, data entry, and correspondence management

This is an excellent opportunity for a motivated individual looking to utilize their fast-paced skills in a part-time capacity. The ideal working schedule for this position will be four hours a day, five days a week, reporting into the organization's location on a hybrid basis.
