Our client, a biopharmaceutical company located in Watertown, is seeking an Executive Assistant. This is a temporary opportunity and can compensate up to $40/hr. depending on experience. Qualified candidates are encouraged to apply today for immediate consideration!

Responsibilities:

  • Partner with the Senior Executive Assistant to provide support on projects, programs, and initiatives within the offices of the CEO and CPO to ensure timely execution and adherence to company policies and confidentiality
  • Complete a broad range of administrative tasks for executives including maintaining executives' calendars, and when independent judgment is not possible, quickly escalating questions to the Sr. EA and stakeholders as appropriate
  • Support logistics for virtual and on-site Board of Directors and Committee Meetings
  • Coordinate and schedule internal and external meetings, committees, and events; reserve meeting locations, send invitations, manage attendee lists, plan catering (as needed), coordinate audio/visual/remote collaboration needs and assist with preparing and distributing meeting materials
  • Provide back-up support for other administrative work within the Senior Leadership Team as needed, including employee engagement administrative duties and projects
  • Manage general administrative duties such as drafting documents, department communications, and presentations, proofreading and tracking changes, filing/scanning, and record keeping
  • Arrange business travel and accommodations, including scheduling complicated international travel and processing travel expenses
  • Provide guidance and build streamline processes with the other executive assistants to maintain a high-level of the support function throughout the organization
  • General office support including assisting with coverage for other Administrative Team members as needed
  • Work with the Administrative Team on event planning and special projects as needed

Qualifications:

  • 6+ years of experience supporting senior executives is required; biotech/pharma experience a plus; experience supporting a CEO a plus
  • Proven proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) and remote collaboration tools (Zoom, Microsoft Teams)
  • Exceptional time management and organizational skills, with the ability to appropriately balance multiple, competing priorities
  • Ability to anticipate needs and take action without requiring detailed direction in relation to routine responsibilities
  • Excellent verbal and written communication skills
  • Ability to maintain the highest level of confidentiality and to engender trust
  • Reliability, positivity, integrity, grace-under-pressure, and a sense of humor are all valued attributes
  • Undergraduate degree highly preferred
  • Knowledge of applicable industry regulations a plus
