Our client, who is a leading Law-Firm in Warrington, PA, is looking for an immediate Temporary Office Services Assistant to join their team! About You:

  • Bachelor's degree in Business Administration, Legal Studies, or a related field preferred, but not required.
  • Minimum of 1 year of administrative experience, preferably in a legal environment or in hospitality.
  • Proficiency in MS Office Suite and document management software (e.g., iManage).
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Demonstrated discretion and professionalism when handling confidential information.

About the Job:

  • Provide comprehensive administrative support to attorney teams throughout the office.
  • Assist in printing and organizing large print requests such as trial exhibits.
  • Scan and manage third-party vendor invoices efficiently.
  • Process and track attorneys' expenses as required.
  • Ensure accurate indexing and filing of both physical and electronic documents into the firm's official hard copy files and iManage database.
  • Handle new business intake requests from conflict search through to the issuance of engagement letters.
  • Prepare materials for overnight and mail service deliveries in a timely manner.
  • Establish and maintain original and electronic client case files, utilizing appropriate recordkeeping software.
  • Conduct electronic document searches for specific requests, ensuring accurate dissemination to relevant parties as per instructions.
  • Collaborate closely and proactively with the Office Administrator on local office projects, tasks, and initiatives.
  • Engage collaboratively and proactively with CST Specialists, ARC Team, and other Legal Team Assistants.
  • Coordinate with internal and external resources as necessary to accomplish projects and tasks.
  • Adhere strictly to all firm policies, procedures, standards, and guidelines while maintaining utmost confidentiality.

Additional Functions:

  • Perform other related duties as assigned.
  • Assist in front-desk activities as needed.
  • Demonstrate understanding of all Records processes.
