General Responsibilities:

  • Oversee the preparation, delivery, negotiation, and revision of contracts.
  • Manage labor acquisition costs to ensure competitive and fair market pricing within the industry and local markets.
  • Oversee proposal planning and contract administration.
  • Negotiate terms and conditions.
  • Prepare contract briefs and revisions summarizing contractual requirements and budgets.
  • Track authorizations and correspondence.
  • Maintain detailed and organized files.
  • Prepare contract change notices and monitor contractor performance, including reporting and status of deliverables.
  • Maintain an audit file for each contract, including the original contract, correspondence, changes/deviations, amendments, clarifications, and payment schedules.
  • Disseminate information regarding contract status to appropriate employees and facilitate contractor meetings when necessary.
  • Ensure contractor compliance with legal requirements, specifications, and government regulations.
  • Perform closing activities as needed.
  • Track payments and deadlines.
  • Analyze and mitigate risks.
  • Provide contract summaries and ensure contract execution in accordance with company policies.

Essential Duties and Responsibilities:

  • Draft, review, red-line, and negotiate vendor agreements and other documents as needed.
  • Communicate effectively with internal teams, customers, vendors, and outside counsel as required.
  • Make recommendations regarding document readiness for signature.
  • Maintain electronic audit files for each contract, including original contracts, correspondence, changes/deviations, internal email approvals, amendments, clarifications, and payment schedules.
  • Perform occasional legal research.
  • Assist with the management of contracts.
  • Assist in compliance matters with the Vendor Relations Manager.
  • Ensure employees and partners are compliant with SOP requirements by maintaining accurate and detailed files/records.
