Leading global alternative asset management firm located in Midtown, Manhattan is seeking to hire a Temporary Facilities Associate to support the office for a maternity leave coverage. The candidate will work closely with the Assistant Facilities Manager and act in a supervisory role in the absence of the Assistant Facilities Manager. This position will start ASAP and go to January 2025 w/ flexibility to extend. This will require 5 days in office Monday - Friday with some weekend flexibility as needed. Hours are 8am - 4pm or 9am - 5pm with availability for OT as needed.

Responsibilities:

  • Serve as point of contact for all day-to-day operations of the facility, including trouble shooting and facilitating maintenance calls.
    • This includes developing an understanding of all office equipment and maintenance.
    • Responding to inquiries and solving problems as they arise.
    • Inspect floors on a weekly basis for repair, cleaning, and maintenance issues. Schedule repairs and track all issues discovered through walk through until completion.
  • Support in the management of all vendor use, including submitting work orders to building management, requests for proposals, ensuring their access to the building and working on ad-hoc projects.
    • Vendor services include gym supplies, gym equipment, laundry, electrician, cleaning, office furniture, exterminator, shipping services, postage system, messengers, printers, fire system inspection, copiers, HVAC.
  • Support all activities associated with floor build out and relocation. Duties include weekly construction meetings, move coordination and post move recovery.
  • Assist with coordinating all new hire seating, visitors and internal office moves with managers and IT Department.
  • Assist with management of Aramark for onsite kitchen/catering service, Cambridge for mailroom/office services and reception/office support team; special projects/daily tasks, training, scheduling, etc.
  • Oversee security system, including liaising with building security, creating/terminating access cards for on/off boarding, reviewing security cameras when necessary and providing reports requested. Act as after-hours emergency contact for building for any security issues.
  • Track and manage invoicing in general: review invoices for accuracy.
  • Assist manager with all projects and general office duties.
  • Requires some after-hours scheduling for maintenance/repairs.

Qualifications:

  • 3+ years of experience working in the financial services industry in a facilities capacity.
  • The individual will be a team player and a self-starter with a strong desire to succeed.
  • Strong organizational and project management skills.
  • Ability to communicate across various levels of an organization, including excellent written communication skills.
  • Ability to exude confidence and poise in a face-paced environment.
  • Sculptor onsite programs used: Outlook, Office Space, Albireo Energy, Lutron

Compensation:

  • Up to $43/hr DOE
