Our client, a law firm located in Needham, is seeking an Executive Assistant/Office Manager/Receptionist for their busy office. This is a temp-to-perm opportunity and can compensate up to $34/hr. depending on experience. This role will be wearing many hats so they are looking for someone who is comfortable with shifting gears and taking on different projects during the workday. Responsibilities

  1. Supports the COO and other attorney partners with administrative tasks, such as managing calendars, scheduling meetings, preparing reports, and coordinating travel arrangements.
  2. Assists with light bookkeeping and billing tasks, including preparing invoices, tracking expenses, billable hours, and managing accounts payable/receivable.
  3. Manages office supplies and equipment, ensuring availability and functionality.
  4. Assists with organizing and coordinating office events and meetings.
  5. Answers telephone calls and takes messages in a positive, friendly manner.
  6. Operates a computer and associated software efficiently; uses a typewriter periodically; transcribes dictation as needed.
  7. Receives deliveries and visitors; distributes mail as necessary; maintains good public relations; observes confidentiality.
  8. Prepares shipping labels and packages and tracks delivery.
  9. Performs typing, photocopying, and scanning; proofreads documents; enters time for some attorneys in a timely manner.
  10. Prepares letters and other legal documents from written and oral drafts; proofreads and makes corrections.
  11. Performs other duties as requested.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  1. Ability to read and write to proofread and perform minor editing (e.g., punctuation, grammar, spelling, formatting) of legal documents.
  2. Ability to learn software and follow established protocols.
  3. Ability to organize and prioritize tasks and ask for guidance when necessary.
  4. Interpersonal skills necessary to communicate in person, by e-mail, and by telephone to provide information with ordinary courtesy and tact.
  5. Ability to take direction and follow instructions effectively from a diverse group of clients, attorneys, and staff.
  6. Work occasionally under the pressure of deadlines and mental effort and strain while producing accurate work products.
  7. Work occasionally requires some overtime to perform essential duties of support to attorneys for the timely execution of transactions.
  8. Proficient in using Office365, Outlook, and Excel.
