Our client, a private equity firm located in Boston, MA, is seeking an Executive Assistant to join their team on a temporary to permanent basis. The schedule for this role is Monday through Friday 8am to 5pm and is compensating up to $43 an hour, depending on experience. Key Responsibilities:

  • Coordinate and manage complex schedules, ensuring efficient use of time.
  • Arrange internal and external meetings, including video conferences, conference calls, and in-person meetings.
  • Organize and book domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Handle any changes or issues that arise during travel.
  • Prepare and process expense reports, ensuring timely submission and adherence to company policies.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Draft, proofread, and edit documents and correspondence as needed.
  • Maintain and organize confidential files and documents.
  • Support team events and activities, including team meetings and off-site events.
  • Ensure a well-organized and efficient office environment.
  • Manage office supplies and coordinate with vendors and service providers.

Qualifications:

  • Minimum of 5 years' experience as an Executive Assistant, preferably in a private equity or investment firm.
  • Proven track record of supporting senior executives in a fast-paced environment.
  • Exceptional organizational and time-management skills.
  • Strong attention to detail and ability to multitask.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to pivot quickly and react promptly to changing circumstances.
  • High level of discretion and professionalism.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and ability to anticipate needs.
