Beacon Hill is hiring! We have partnered with one of our long-standing clients in Joliet, IL in hiring for a Fleet Licensing Coordinator to start immediately! This is a 9 month contract role.

Summary: The Fleet Licensing Clerk is responsible for managing the licensing and registration of the company's fleet vehicles. This includes ensuring all vehicles comply with local, state, and federal regulations. The position requires meticulous attention to detail, strong organizational skills, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

  1. Licensing and Registration:
    • Process and maintain records of vehicle registrations and renewals.
    • Ensure all fleet vehicles are compliant with current licensing requirements.
    • Handle title transfers and other related documentation.
  2. Regulatory Compliance:
    • Stay updated on local, state, and federal regulations regarding vehicle licensing and registration.
    • Ensure all fleet vehicles meet regulatory standards and are properly documented.
    • Liaise with regulatory bodies as necessary.
  3. Record Keeping:
    • Maintain accurate and up-to-date records of all fleet vehicles, including registration, insurance, and inspection documents.
    • Manage electronic and physical filing systems for easy retrieval of information.
  4. Coordination and Communication:
    • Coordinate with the fleet management team to ensure timely registration and compliance of all vehicles.
    • Communicate with vendors, dealerships, and government agencies regarding vehicle documentation and licensing.
    • Provide regular updates to the Fleet Manager on the status of vehicle registrations and compliance.
  5. Administrative Support:
    • Assist in preparing reports related to fleet licensing and compliance.
    • Support other administrative tasks within the fleet management department as required.

Qualifications:

  • Education: High school diploma or equivalent; additional certification in office administration or related field is a plus.
  • Experience: Previous experience in a similar role, preferably within fleet management or a related field.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent attention to detail and accuracy.
    • Proficiency in using office software, including MS Office Suite.
    • Good communication and interpersonal skills.
    • Ability to work independently and as part of a team.
    • Knowledge of vehicle licensing and registration processes.

Working Conditions:

  • Office environment with occasional requirements to visit government offices or vehicle dealerships.
  • May involve occasional lifting of files and records.
