Job Title: Vendor/Contract Coordinator

Hours: 8:30 AM - 5:30 PM
Contract to Hire Assignment
Position Overview:
Our Client is seeking a dedicated and organized Vendor/Contract Coordinator to manage the scheduling and coordination of vendor services for our residential properties. This role is essential in ensuring timely and efficient maintenance and repairs across our portfolio, and it requires a proactive approach to vendor management and resident communication.
Key Responsibilities:
- Vendor Management: Oversee and manage relationships with approximately 50 vendors, including those providing plumbing, HVAC, general contracting, carpeting, painting, and other essential services.
- Scheduling & Coordination: Coordinate and schedule all vendor service requests, ensuring that work orders are completed promptly and efficiently.
- Resident Communication: Serve as the primary point of contact between vendors and residents, providing clear communication about the scope of work, scheduling, and follow-up after job completion.
- Invoice Tracking & Payment Oversight: Track all vendor invoices to ensure timely and accurate payment. Work closely with the finance team to resolve any discrepancies.
- Quality Control: Follow up on completed work orders to ensure resident satisfaction and vendor adherence to quality standards.
Qualifications:
- Experience: Previous experience in vendor management, property management, or a related field is highly preferred.
- Communication Skills: Excellent verbal and written communication skills, with the ability to effectively interact with vendors, residents, and internal teams.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Problem-Solving: Ability to anticipate and resolve issues quickly and efficiently.
- Tech-Savvy: Comfortable using property management software and other digital tools for scheduling, tracking, and communication purposes.
