Investment management firm located in Hudson Square, Manhattan is seeking to hire a Temporary Office Coordinator to support the office. This position will start by the week of September 23rd and require 5 days in office. Hours are 8:30am-4:30pm with some flexibility around end time as you will be working 20 - 30 hours per week. Pay rate is up to $25/hr.
Responsibilities:
- Greet, welcome and direct all visitors with white glove service and notify company personnel of the visitors arrival
- Answer, screen, and route telephone calls, directing inquiries as appropriate and/or providing information
- Manage inventory, place orders, and restock all office and pantry supplies
- Assist with company event planning i.e. booking venues, arranging catering orders, décor, etc and assist with company swag and business card orders
- Handle inbound and outgoing mail & coordinate FedEX shipments including pickups, drop-offs, etc.
- Assist with new hire onboarding including new hire welcome message creation, new hire desk set ups, ID Creation, etc.
- Assist with conference room bookings and zoom meeting coordination for teams throughout the firm
- Liaise with external vendors, internal employees across all levels, as well as building management and Resolve/escalate office maintenance issues
- Maintain positive internal relationships, becoming a reliable partner to our team across the firm and assist with ad hoc projects
Qualifications:
- Bachelor's Degree highly preferred
- Minimum 1+ years of administrative experience
- Excellent organizational and time management skills
- Proficiency with Outlook and Microsoft Office Suite
- Excellent written and verbal communication skills
