Our client, a growing investment bank, is looking for an Office Administrator to be the face of their growing Chicago office and handle office management duties. In this position, you will be doing both office management and reception duties with great potential to grow in an Executive Assistant role. This role is onsite Monday-Thursday with the ability to work from home on Fridays.

Responsibilities:

  • Greet all visitors and ensure they are settled in the appropriate office or meeting space; communicate with the executive assistants and business partners to ensure smooth meetings; offer refreshments
  • Provide back up support to EA's when needed, including but not limited to: booking travel and managing complex calendars
  • Liaison with Headquarters in New York City
  • Prioritize and manage multiple projects simultaneously and follow through on all associated details
  • Able to draft documents, edit presentations and assist with other preparations of materials
  • Cover phone calls to the front desk; serve as back up call coverage for all other Partners
  • Perform varied and at times complex and confidential administrative duties under limited supervision
  • Order office supplies and maintain inventory

About You:

  • Bachelor's degree
  • 2+ years of experience in a corporate administrative role
  • Excellent organizational skills and attention to detail
  • Professional demeanor, refined interpersonal skills, and a strong service orientation
  • Must be comfortable working with MS Word, Excel, and Outlook
