Real Estate Executive Assistant
Residential Real Estate Firm searching for an EA for their team. Monday - Friday, 7-4 or 7:30 - 4:30. Contract to Hire.
Qualifications
- Proven experience as an executive assistant, preferably in the real estate industry
- Proficiency in real estate software, including Profit Power and BrokerMetrics
- Excellent organization and time management skills
- Strong communication and interpersonal abilities
- Ability to handle confidential information with discretion
- Flexibility to adapt to changing responsibilitie s
- Prior experience in a similar role is advantageous, particularly in the real estate sector
Responsibilities
- The ideal candidate will be proficient in handling complex administrative tasks, managing schedules, and coordinating various responsibilities related to real estate operation
- Take meeting minutes, prepare agendas, and follow up on action items as requested
- Prepare monthly packets containing information on brokerage sales, listings, closings, mortgage success rate, insurance success rate, title success rate, and relocation monthly reports
- Compile and present regional market share reports
- Prepare weekly branch information packets for sales meetings
- Post updates in Chatter as directed
- Establish and maintain effective communication and connectivity systems/processes with field personnel
- Coordinate calendar and travel arrangements
- Prepare expense reports and manage purchasing requests
- Distribute payroll reports and ensure accuracy
- Act as a liaison with the marketing department for various initiatives
- Create and distribute monthly reports
- Manage tracking and administration of recognition program, including new agent welcome packages, anniversary milestones, production milestones, agent support recognition, and holiday cards
