Our client, an Investment Company located in Midtown Manhattan, is seeking a Temporary Administrative Receptionist. This position will start this week and continue for a minimum of 2-4 weeks with high potential to extend. Hours are 8:30am - 5:30pm with an hour lunch.
Responsibilities:
- Manage the main phone line and screens calls
- Manage the corporate calendar and set up meeting invitations
- Clear guests with building security
- Receive and direct visitors to appropriate conference rooms
- Make specific arrangements for meetings (such as ordering breakfast and/or lunch, set up audio-visual equipment for virtual participants
- Coordinate travel arrangements when necessary, including cars service and/or hotel for guests
- Assist Office Manager in daily office operations
- Coordinate desk reservations for visiting employees
- Sign for and distribute mail, print stamps, and manage the postage account
- Send weekly interoffice package to headquarters in New Jersey
- Operate a variety of office equipment including copier/printer, postage weight machine and binding machine
- Maintain order at printer stations daily including discarding cover sheets, distributing print jobs
- Coordinate building services
- Take Inventory and order all office supplies including beverages and snacks
- Print daily conference room calendar schedule and verbally communicate updates
- Work together on inventory processes to keep supplies stocked
- Manage the pantry and meeting set up in Housekeeper's absence
- Perform miscellaneous job-related duties as assigned
Qualifications:
- 3+ years of administrative experience at a financial services firm.
- Experience answering phones and greeting visitors.
- Have managed a corporate calendar.
Rate:
- Up to $35/hr
