Senior Construction Administrator - 75K

Job Summary: The Senior Construction Administrator will play a crucial role in overseeing and managing the administrative functions of construction projects while also providing high-level executive support to the company owner. This dual role requires a highly organized and detail-oriented individual with extensive experience in construction administration, project management, and executive assistance. The ideal candidate will ensure that all administrative aspects of construction projects and executive tasks are handled efficiently and effectively, supporting the construction team and facilitating successful project outcomes. Contract to Hire. Regular Business hours.

Key Responsibilities:

Construction Administration:

  • Manage and oversee the administrative aspects of multiple construction projects from inception to completion.
  • Coordinate and maintain project documentation, including contracts, permits, change orders, and project closeout documents.
  • Monitor project schedules, budgets, and expenditures, ensuring compliance with project timelines and financial constraints.
  • Prepare and review project reports, meeting minutes, and other project-related correspondence.
  • Serve as the primary point of contact for clients, subcontractors, and other stakeholders, addressing inquiries and resolving issues promptly.
  • Ensure compliance with all local, state, and federal regulations and building codes.
  • Assist in the preparation and submission of project bids and proposals.
  • Develop and implement administrative processes and procedures to improve efficiency and effectiveness.
  • Conduct regular site visits to monitor progress and ensure adherence to project plans and specifications.
  • Collaborate with the construction team to identify and mitigate potential risks and issues.
  • Provide training and mentorship to junior construction administrators and support staff.

Executive Assistance:

  • Provide high-level administrative support to the company owner, including managing schedules, appointments, and travel arrangements.
  • Prepare and organize meetings, including drafting agendas, taking minutes, and following up on action items.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Assist with personal tasks and errands as needed to support the company owner.
  • Coordinate communication between the company owner and internal/external stakeholders.
  • Manage and prioritize email correspondence, drafting responses on behalf of the company owner as required.
  • Conduct research and prepare reports, presentations, and other documents as requested by the company owner.
  • Plan and organize company events, meetings, and conferences.
