Our client, a company focused on fostering deep learning for youth and educators, is in search of a polished and intelligent Administrative Assistant to join their team! This is a part-time role and compensates $24-27 an hour depending on experience. Qualified candidates are encouraged to apply!

Office administration

  • Purchasing supplies for the general office and for our programs
  • Booking space and ordering food as needed for staff meetings, etc.
  • Coordinating with other staff members to support programmatic events
  • Communicating with printer vendor and IT provider for tech fixes
  • Submitting invoices and back-up documentation to outsourced finance partner

Fundraising/grants administration

  • Gift tracking and entry into existing systems
  • Data management (pulling reports, working with spreadsheets, etc.)
  • Sending thank you letters (template provided)
  • Emailing with sponsors around invoicing, logos, guest lists, etc.
  • Recording expense and revenue activity in google spreadsheet

Event support

  • Tracking ticket purchases
  • Pulling reports and reconciling totals across multiple platforms
  • Assistance sending invitations, printing labels, etc.
  • Making name tags, invitation lists, etc.
  • Creating google forms and documents for volunteer experiences (structure provided)

Communications support

  • Posting to social channels (drafting copy and sourcing photos or graphics, opportunity to do more in this area if the person is interested)
  • Drafting copy or creating drafts for marketing emails (Constant Contact)
  • Assisting with board meeting preparation (compiling materials, creating contact spreadsheets, preparing slides, etc.)

Skills and Qualifications

General skills

  • Highly organized
  • Process-oriented
  • Detail-oriented
  • Good communicator
  • Problem-solver (figure it out kind of person)
  • Can work independently, but knows when to ask for help
  • Can juggle multiple things at once
  • Confident using (and learning about) tech

Competencies required

  • Some level of experience / knowledge using spreadsheets
  • Some experience in doing admin tasks (this could be working in an office or similar settings, volunteer experience of this nature, etc.)

Competencies desired

  • Has worked with a data management system (a CMS like Salesforce)
  • MailMerge experience is a bonus
  • Experience working with a WordPress site (or any website experience) is a bonus
