Our client, a law firm, is actively looking for an Administrative Assistant to join their Chicago team. In this position, you will provide administrative and secretarial support for several directors/managers and corresponding teams in the Human Resources department.

Responsibilities:

  • Schedule and organize complex activities such as meetings, travel, video conferences and department activities
  • Assist with lawyer and staff new hire orientation logistics (conference room, PPT, new hire folders, gift bags and paperwork)
  • Audit and scan corporate and local Chicago new hire paperwork to personnel files; retrieve information from personnel files when needed
  • Maintain current electronic personnel files for lawyers and staff
  • Utilize Microsoft Word, Excel, PPT and Visio to edit and create general correspondence, memos, charts, presentations, etc
  • Proofread copy for spelling, grammar, and layout, making appropriate changes; responsible for accuracy and clarity of final copy
  • Coordinate attestation process with local offices including in-person trips to consulate, secretary of state, county building, etc
  • Assist with health and welfare insurance renewal process
  • Assist with lawyer performance appraisal tasks including entering late appraisals, organizing review binders, preparing envelopes, labels and assisting with review book deliveries
  • Assist HR Operations with offer letter and other audits and distribute weekly reports to various departments
  • Assist with departing employee paperwork and logistics
  • Administer notary process and communication of procedures to all active and potential Chicago notaries
  • Route policy questions to the appropriate human resources team
  • Work in cooperation with/fill in for other HR Administrative Assistants during absences
  • Acts a liaison with other departments and outside agencies
  • Perform other related duties and special projects as required and assigned


About You:

  • High School Diploma. Bachelor's degree preferred
  • Proficiency in MS Outlook, Word, Excel and PPT
  • Ability to type with high level of accuracy
  • Excellent proofreading skills
  • Excellent grammar and punctuation
  • Strong organizational skills
  • Strong attention to detail
  • Strong interpersonal communication skills
  • Strong analytical and problem-solving skills
  • Able to preserve confidentiality and exercise discretion
  • Able to work under pressure
