Summary

The HR Administrative Assistant performs a wide variety of administrative functions of varying difficulty, complexity, and responsibility such as typing correspondence, copying, electronic file creation and maintenance, meeting preparation, as well as assisting staff and applicants in the employment process. This incumbent will receive detailed instructions and close supervision on new assignments, but as experience is gained, tasks will be performed with independence and initiative. Work may involve operation of standard office equipment. Work will also include public contact requiring tact and initiative.

Essential Duties and Responsibilities

Administrative

  • Maintains electronic files related to personnel activities.
  • Supports staff in preparation of materials, mailings, and any special projects.
  • Utilizes Outlook to maintain staff schedules.
  • Types and copies routine letters and correspondence.
  • Assists in note taking in meetings, as needed.
  • Communicates all staff status changes to applicable HQ staff.
  • Submits all HR Office purchase approvals to applicable HQ staff.

Human Resources

  • Assists with recruitment process
    • Informs applicants of job openings and directs them to website.
    • Schedules interviews with qualified candidates, emails necessary paperwork to candidates and prepares interview packets.
    • Tracks applicant's status throughout the recruitment process.
    • Conducts preemployment checks in order to determine applicant's employment eligibility.
    • Communicates with candidates regarding processes and procedures.
  • Assists with staff evaluation process, including scheduling meetings with employees and HR staff, tracking and communication evaluation status.
  • Sends out new supervisor emails, and schedules meetings for new supervisor with HR staff.
  • Tracks and communicates HR changes to the Allegheny Department of Human Services.
  • Complete various admin tasks, including uploading supporting documentation, for employee job and status changes.
  • Provides support for various tasks as needed.

  • Comfortable working in a fast-paced environment; exhibit high energy.
  • Ability to learn quickly; ability to complete assigned tasks quickly and efficiently.
  • Possess a willingness and ability to learn new job functions as needed.
  • Experience working with people from diverse backgrounds.
  • Ability to establish and maintain an effective working relationship with other employees and the general public.
  • Possess strong communications skills, both verbal and written.
  • Have discretion in handling confidential information.
  • Ability to work under pressure at times to handle a wide variety of competing demands.
  • Strong proofreading skills, with excellent attention to detail and accuracy; accurate typing, spelling, and grammatical skills.
  • Possess strong organizational skills that allow an ability to adjust priorities and deviate from routines seamlessly.
  • Ability to work independently, but as part of a high-performing team of professionals.
  • Proficient in MS Office (Word, Excel, and Outlook) and the Internet.

Education/Experience Requirements

Some college in a related field, plus prior administrative experience working in a service oriented, small-medium sized business is preferred.
