You will provide administrative support for the Chairman as well as other executives in the office. This administrative professional will provide high-level assistance and perform other office management duties. This person will be based out of the corporate office in Dallas, Texas.

Responsibilities

  • Handle incoming phone calls from both internal and external guests
  • Manage multiple calendars by scheduling meetings with internal key players and external stakeholders
  • Greet and escort all in-person guests at the office, including high-level executives and politicians
  • Assist with expense reporting, departmental billing, and other personal finances for the Chairman
  • Record and manage an annual summary of all politically-affiliated donations
  • Compose memos on behalf of the Chairman including recommendation letters, etc.
  • Manage all travel-related plans for the Chairman, including private and commercial flight, hotel, transportation, etc.
  • Collect analytical data for the Chairman in advance of visits to the field, including survey reports, financial statements, etc.
  • Efficiently handle all incoming donation requests, including political, charitable, etc.
  • Manage office supplies inventory and ordering as needed
  • Some personal assistant responsibilities for the Chairman as requested
  • Handle special projects as assigned

Qualifications

  • Bachelor's degree required
  • Previous administrative assistance preferred, not required
  • Must be extremely proficient in Excel, Word, PowerPoint, and Outlook
  • Ability to work extended hours as needed
  • Ability to work independently on multiple priorities with minimal supervision
  • Must be highly organized and can multi- task and shift priorities as needed
  • High degree of professionalism is required
  • Excellent written and verbal communications skills
