Great Long term temporary position!

We are looking for an adminsitrative professional to cover a leave of absence for one of Pittsburgh's prestigious schools located in the Shayside area of the city.

$20-$25/hr

The Academic Department Coordinator provides key administrative support and serves as the central point of contact for the Academic Department. The individual in this position will support the Assistant Head for Education and Strategy, as well as the Director of Support Services and Director of Equity, Inclusion, and Wellness.

The Academic Department Coordinator performs under the general direction of the Head of School and is under the daily supervision of the Assistant Head for Education and Strategy. The individual in this position serves in a manner that advances and upholds the mission and philosophy of the school.

The Academic Department Coordinator is primarily responsible to provide administrative assistance and organizational support for the Assistant Head for Education and Strategy and the Academic Department by fulfilling the following duties and responsibilities:

  • Coordinate and maintain the Assistant Head's calendars including scheduling meetings,

classroom observations, and other events

  • Manage processes related to employee professional development, including monitoring and processing professional development requests and reflection forms, processing invoices and monitoring budgets, assisting with registration, overseeing related documentation and data tracking
  • Provide event planning and logistical support for Academic Department special events, programming, professional development opportunities, and Diversity, Equity and Wellness programs
  • Schedule testing, evaluations and other events, as needed, for the Director of Support Services, including communicating and coordinating with parents and external partners
  • Process paperwork and documentation needed for student evaluations and other support services
  • Support the New Employee Mentor program including processing applications, managing correspondence with new employees and mentors, and monitoring of activities
  • Build, maintain, and communicate employment opportunities to a database of contacts for recruitment, in collaboration with the Assistant Head for Education and Strategy and Human Resources Office
  • Coordinate communication from the Academic Department such as maintaining the faculty group page by updating the calendar, providing resources, writing blog posts, and sending regular email updates
  • Assist in the development, coordination, and communication of the academic calendar including faculty meetings, DEI programming, City as Our Campus, and other events
  • Maintain organized records necessary for the effective operation of the Academic Department
  • Serve as primary contact to coordinate requests and purchasing for the Title IIA and Title IV funds through the Pittsburgh/Mount Oliver Intermediate Unit and Pittsburgh Public Schools
  • Manage budgets, invoicing, and purchasing of supplies/materials for the Academic Department, as needed
  • Act as a liaison between administration, faculty, students, and parents
  • Perform other duties as assigned

Requirements

A Bachelor's degree in a related field is preferred, or equivalent combination of education and experience. The successful candidate will have 3+ of experience in administrative support, preferably in a school setting. Experience and knowledge of academic affairs as well as equity and inclusion issues encouraged. They must have excellent interpersonal, organizational, and planning skills. Strong verbal and written communication skills are necessary. The ability to maintain strict confidentiality is required. They must be able to effectively manage multiple priorities and meet deadlines. Proficiency in Google Suite is required.
