Our client, a Technology company located in Boston, MA is seeking an Executive Assistant to support their CEO on temporary to hire basis. This role is compensating $35/hour on the contract side and between 75-85K once permanent.
Responsibilities:
- Manage and maintain executives' schedules and calendar.
- Make travel arrangements for executives; coordinate with travel agency and/or remain on-call for dynamic and time sensitive travel needs.
- Coordinate and oversee property management via communication with management companies and/or tenants
- Prepare business and personal invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
- Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
- Answer phone calls and direct calls to appropriate parties or take messages.
- Prepare responses to correspondence containing routine inquiries.
- Open, sort, and distribute incoming business and personal correspondence, including faxes and mail.
- Greet visitors and determine whether they should be given access to specific individuals.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
PREFERRED SKILLS AND EXPERIENCE
- A 4-year college degree
- 6+ years of relevant experience required.
- Advanced knowledge of MS Office Products (version 2016 or higher), Vista or Windows 7 (or higher)
- Operating systems, Quickbooks, and Adobe Acrobat Pro.
- Excellent oral and written communication skills.
- Strong organizational skills-being able to plan, coordinate, and track tasks effectively.
