Our client, a management company, is looking for a temporary Executive Assistant to join their team in the downtown Chicago area. In this position, you will be supporting the Chief Operating Officer. You will manage mostly business-related tasks and the operations teams such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. This position, based on experience, pays up to $70k.

Responsibilities:

  • Prepare and edit correspondence, communications, presentations and other documents
  • Design and maintain databases
  • File and retrieve documents and other materials
  • Collate and manage operations data
  • Conduct research, collect and analyze data to prepare reports and documents
  • Manage and maintain executives' schedules, appointments and travel arrangements
  • Arrange and coordinate meetings and events
  • Record, transcribe and distribute minutes of meetings
  • Monitor, screen, respond to and distribute incoming communications
  • Answer and manage incoming calls
  • Receive and interact with incoming visitors
  • Liaise with internal staff at all levels
  • Interact with external clients
  • Coordinate project-based work
  • Review operating practices and implement improvements where necessary

About You:

  • Must have at least an associate degree or higher from an accredited college or university
  • 3+ years of prior executive or admin experience
  • 1+ years of data entry and analysis
  • 2+ years or more of executive experience supporting C-suite is highly preferred
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
  • Advanced skills on Excel
  • Knowledge of standard office administrative practices and procedures
