Our client, a well regarded financial services firm in Midtown Manhattan is looking to hire a Temporary Executive Coordinator Assistant to support their Global Branding & Communications team. This group is responsible for crafting and deploying branding, marketing and communications strategies. This role provides the opportunity to support the Chief Communications Officer and the Branding & Communications senior leadership team for a six month engagement and includes booking international and domestic travel, expense management, monitoring of executives' calendars and schedules and managing conference and event logistics. This is a unique opportunity for a talented, organized individual to work alongside an innovative team, with exposure to branding, marketing and communications in the alternative investment management industry. The ideal candidate will work in office 4 days per week, but for the right candidate they will entertain a fully remote assistant. Hours are 9am - 5pm daily. This role will start mid - September, latest October 3rd and go through March.

Responsibilities

  • Monitor and adjust executives' calendars and schedules, provide reminders as required, be available for last-minute changes and coordinate with other executive assistants and team members as necessary
  • Work with the firm's systems to execute on responsibilities
  • Prepare expense reports on a timely basis
  • Research, book and coordinate domestic and international travel for executives - ensure required travel documents are in place, create itineraries, maintain and update all calendars and liaise with required parties
  • Plan and coordinate team meetings and outings
  • Maintain record of team invoices and receipts
  • Submit weekly timesheets for executives
  • Prepare materials and documents for meetings, and assist in creating presentations as needed
  • Exercise sound judgment and discretion of a highly confidential nature
  • Other related projects and duties as requested

Requirements

  • Bachelor's degree and minimum of 3+ years' experience in a similar capacity with an excellent performance track record
  • Prior Executive Assistant experience for C-Level executive a plus
  • Strong verbal and written communication skills
  • Friendly and cooperative personality
  • Excellent team player with a strong willingness to participate and anticipate the needs of others
  • Quick learner and detail oriented; demonstrable thoroughness and strong ownership of work
  • Experience with Microsoft Office, specifically Outlook and computer-based programs
  • Ability to prioritize in a fast moving and constantly changing environment; high sense of urgency

Compensation

  • Up to 35hr DOE
