Our client, a digital marketing agency is looking for a Executive Assistant/Office Manager to join their team in the downtown Chicago area. In this position, you will be doing both office management and executive assistant duties. This position pays up to $75k.

Responsibilities:

  • Provide support including but not limited to: flawlessly managing complex calendars and providing strategic administrative support to increase efficiencies
  • Identify and solve potential challenges related to scheduling, travel, and other daily activities
  • Coordinate with other staff on travel bookings and expense processing for staff
  • Prioritize and manage multiple projects simultaneously and follow through on all associated details
  • Able to draft documents, edit presentations and assist with other preparations of materials
  • Coverage may be required earlier and extend to later in the day per the needs of the business.
  • Greet all visitors and ensure they are settled in the appropriate office or meeting space; communicate with the executive assistants and business partners to ensure smooth meetings; offer refreshments
  • Cover phone calls to the front desk; serve as back up call coverage for all other Partners
  • Perform varied and at times complex and confidential administrative duties under limited supervision
  • Proactively help with filing and organizing both electronic and hard copy documents
  • Order office supplies and groceries

About You:

  • Four-year college degree
  • 2+ years of experience in a corporate support function
  • Excellent organizational skills and attention to detail
  • Professional demeanor, refined interpersonal skills, and a strong service orientation
  • Must be comfortable working with MS Word, Excel, and Outlook
  • Ability to maintain composure and professionalism in a fast paced, high output, ambitious culture
  • Ability to seamlessly manage multiple tasks with potentially shifting priorities
  • Strong written and verbal skills
  • Demonstrated ability to maintain confidentiality of sensitive matters at all times
