Our client, a Pharmaceutical company located in Waltham, MA is seeking a talented Executive Assistant to join their growing team on a temporary to permanent basis. This role will be compensating up to $50/hour on the contract side and 100K+ once permanent.

Responsibilities:

  • Creates and proofs packets of information; develops documents and materials for meetings and a wide array of audiences, including the Board of Directors.
  • Edits and produces advanced internal and external communications (acts on behalf of an executive for certain decisions or activities).
  • Independently manages calendars, including complex meeting and travel coordination, scheduling and confirming internal and external appointments for individuals.
  • Prioritizes competing demands and requests, interfaces external parties, and performs an advanced level of stakeholder management.
  • Coordinate logistics of programs and special events including team meetings, conferences, seminars, workshops, off-site meetings, special projects and department outings/team building.
  • Initiates and manages projects or process improvements with minimal supervision. For example, responsible for the creation and management of contracts for a function and/or process.
  • May also be responsible for using analytics to assess budget and inventory status. Willing to submit expense reports and any additional tasks needed.

Who You Are

  • Associate Degree; minimum of 5 years experience
  • Prior experience as an executive assistant in a high-growth, fast-paced environment is required. Experience within the biotech/pharmaceutical industry is highly preferred.
  • This individual will bring expert skills in and can train others in technology systems, which includes word processing, data management, and business emailing software as well as database and research tools.
  • This individual should have a can-do, roll up your sleeves approach, willingness to work as a member of an EA Team, and be flexible to help out the EA team wherever needed.
