Position overview:

Provide general back-office investment and accounting support including: creating morning investment and borrowing positions for portfolio managers; daily trade settlements with custodian banks; preparation of wire transfers; accounts payable; perform monthly accounting entries, assist in the month-end close process, including preparing investment rollforwards, and other month-end reconciliations.

GENERAL RESPONSIBILITIES

  1. Prepare daily investment or borrowing position, as well as daily positions for U.S., Canadian, and U.K. portfolios (on a rotational basis) averaging about $33B, which require accurate and timely presentation to portfolio managers and Corporate Treasury department each morning. Cash positions include beginning cash balance, cash transfers, maturities, coupon payments, corporate actions, sales, purchases, paydowns of mortgage- and asset-backed securities and other miscellaneous items. Communicate with various groups throughout the day and provide updates to key stakeholders regarding changes to cash transfers from our client funds activity.
  2. Daily trade settlements with custodian bank - ensure that trades entered into the investment system are fed into the custodian bank system and monitor settlement process throughout the day. Investigate and resolve trade differences as they arise by communicating with brokers and custodian bank.
  3. Initiate wires transfers utilizing the bank online portals and approve and release repetitive wire transfer payments.
  4. Assist with month-end close process including preparation of certain monthly journal entries, investment rollforwards, checking account reconciliations and expense analysis.
  5. Assist with cash reconciliations, including investigating and resolving coupon payment and other differences.
  6. Accounts Payable - input invoices into the accounts payable system on a periodic basis and create a list of checks to be paid on a weekly basis. Monitor the expense trend and ensure adequate liquidity to fund the disbursements.
  7. Prepare custody reconciliations on a monthly basis and research and resolve any discrepancies.
  8. Coordinate investment account opening application with legal and investment counterparties
  9. Maintain files of board minutes and other broker/legal documentation.
  10. Assist with preparation of annual tax package.
  11. Assist with providing information for internal and external auditors.
  12. Update share repurchase database

QUALIFICATIONS:

Education: Bachelor Degree in Accounting or Finance required (or equivalent in education and experience); Licensed CPA or working toward license is highly desirable
Experience: Approximately 2-4 years of experience in progressive accounting and finance environment with a Big 4 accounting firm (investment accounting preferred). Experience in an investment firm's back office operations or equivalent preferred.

Preference will be given to candidates who have the following :

  • Outstanding proficiency in Microsoft Excel, PowerPoint, and other MS applications
  • Knowledge of the Portia investment accounting system, Bloomberg, Dynamics general ledger, and Hyperion Financial Management systems are desired
  • Strong internal controls mindset (ability to identify and close control gaps and/or issues)
  • Exceptional attention to detail and strong analytical/problem resolution skills
  • Outstanding organizational and time management skills and works well under pressure
  • High degree of professionalism and accountability; ability to prioritize multiple projects
  • Strong communication skills, with ability to work both independently and with a team
